Responsibilities:

  • Coordinate all aspects of the bid management process from initiation to submission, ensuring all tasks are completed on time and meet the necessary requirements.
  • Review RFP (Request for Proposal) documents thoroughly to understand client requirements and expectations.
  • Create and maintain comprehensive checklists based on RFP documents to ensure all requirements are met during the bid process.
  • Develop and manage comprehensive bid plans, timelines, and deliverables, ensuring milestones are met.
  • Collaborate with cross-functional teams (e.g., sales, technical) to gather necessary information and ensure accurate and compelling bid proposals.
  • Review and edit bid documentation, ensuring high quality, accuracy, and consistency across all materials.
  • Maintain an organized database of bid documentation, templates, and records for easy access and reference.
  • Ensure bid documents adhere to standard formatting and quality control standards.
  • Draft compliance documents and ensure they are accurately filled and submitted within the specified deadlines.
  • Draft and send clarification letters, addressing any questions or issues raised during the bid process.
  • Oversee and manage vendor registrations, ensuring all required documentation is submitted and properly maintained.

Skills:

  • Any degree, preferably with a background in Computer Science or a related field.
  • Strong understanding of bid management processes and best practices.
  • Excellent written and verbal communication skills for drafting clear and concise documentation.
  • Detail-oriented with the ability to ensure accuracy and consistency across all bid materials.
  • Ability to work collaboratively with cross-functional teams and manage multiple tasks simultaneously.
  • Familiarity with vendor registration processes and compliance requirements.
  • Strong organizational and time management skills, with the ability to prioritize and manage competing deadlines.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other bid management tools.
  • Ability to work under pressure while maintaining high standards of work quality.
