 As a bid manager you will:

  • Be responsible for submitting completed bids to existing or prospective customers, on time and within budget
  • Recognise opportunities that fit with the strategy of the business
  • Develop relationships with other parties to assist in creating opportunities and successful submissions
  • Ensure that all questions have been answered as fully as possible
  • Ensure that ULTS is positioned with the best possible chance of success.
  • For Bids that are complex, get operational teams to support the change of new contracts
  • Prepare handover picks
  • Recognise particular companies to partner with to help develop and support the PQQ and responses
  • Understand client requirements and their plans
  • Be a point of contact for customers
  • Ensure authorised person signs off any post-tender changes
  • Ensure bids are prepared to deadlines and follow procedures
  • Facilitate proposal process and proposal reviews
  • Prepare Bid Plan, Proposal Strategy and assist in making updates, clarifications and additions to the proposal
  • Drive RFx response and proposal process to increase win rate and proactive risk mitigation
  • Risk tracking and management throughout the bid process.
  • Contributing to the written proposal - both in terms of content and presentation
    Manage the bid budget
  • Produce written responses to questions during different phases of bids through using existing materials in the bids library / repository and / or drafting new responses
  • Effectively update, file and manage all information and critical documents related to bids - emails, website uploads, client documents etc. to ensure information is readily available for future reference.
  • Take complete ownership of driving the bid, throughout different stages of RFP starting from Deal Evaluation, Story Boarding, proposal summary & writing, till the final submission to the customer.
  • Manage virtual bid teams at remote locations and inputs from a variety of stakeholders, typically involving contributions from sales, marketing, product teams, and finance, commercial, legal and delivery.
  • Coach workshop participants and contribute actively in required workshops in key deals on risk and bid process
  • Set up document structure, repositories etc.
  • Administration of proposal documents
  • Critical reviews of potential projects to confirm the Bid/No Bid status.
  • Sourcing and promoting new subcontractors that safeguard the project being delivered successfully and within budget.
  • Identifying areas of opportunity that could create programme and cost savings.
  • Effective management of teams to ensure that tight deadlines are met.
  • Work closely with the Transformation leaders, Lead Solution Architect and Business development team to contribute in solution development, manage the proposal requirements and deliverables
  • Leading facilitation of solution articulation processes for proposals by facilitating inputs across groups as well as contribute to the same
  • Role involves regular follow up with all the stakeholders who are part of the deal team
  • Will be responsible for tracking the progress on the deals on a day to day basis by publishing daily trackers and status reports
  • Will be required to coordinate with the Design and editing team for the look and feel of the overall document
  • Putting frameworks in place to ensure bid management process adherence by the stakeholders and the team
  • Identify risk and ensure timely raising of red flag
  • Demonstrate ability to meet/improve deadlines and manage multiple priorities
  • Contribute towards the proposals support infrastructure - create repeatable/re-usable assets that leads to improved effectiveness in solutions at higher through-put rates
  • Identifying challenges upfront in bid management upstream and downstream processes and partner with stakeholders to implement solutions for an efficient process
  • Constant initiative to improvise on the bid management process based on the upcoming needs to strive for an industry leading practice
  • Collateral creation: Partner with the Knowledge Management team to ensure capturing artefacts and unique responses created in the process of proposal design for re-purpose
  • Creation of overall bid strategy especially for large bids.
  • Prepare / collate bid documentation - Prequalification and technical documentation - project credentials, CVs, response to company information etc, Response to queries etc. Collate other inputs to bid response as solution, deviations, plan etc. 
  • Drive and take up bid stitch - Prepare Schedule, plan with owners, timelines to take bid to submission and post submission closure. 
  • Prepare action items, and assign owners across solution, delivery, procurement, legal and finance teams. 
  • Manage action items, drive internal approval process, coordinate key events with client, and escalate issues for resolution. 
  • Integrate outcomes from work streams: solution, pricing, legal, commercial, proposal management. 
  • Support bid evaluation process - Evaluate bid score on technical evaluation matrix prior and post submission. 
  • Facilitate Win and Loss Analysis of bids

Preferred skills

  • Should have previously worked with Tier I IT services organizations with a minimum total work 7-8 years in pre-Sales / business development role
  • Demonstrable experience of working on large and complex bids as a Bid Manager or equivalent (Solution Owner, Commercial Owner, Sales Lead or Response Owner). 
  • Business development experience within a complex solution environment requiring interaction with senior management / the executive board. 
  • Strong organizational, facilitation and project management skills
  • Experience, capability in client interfacing roles
  • Highly credible with the ability to influence both internally with colleagues, and externally with clients. 
  • Determined and enthusiastic in bringing pursuits to a successful closure
  • Experience of multivendor / Service Bids.
  • Proven track record of imparting consulting to Enterprise / Commercial / PSU clients and driving large multi-technology solution bids with end-to-end ownership
  • Knowledge of leading best practices architectures and methodologies in the technology infrastructure integration domain. 
  • Good verbal and written communications and presentation skills
  • Demonstrate an aptitude for assimilation of new technologies and solutions.
  • Demonstrated capability in driving continuous improvement projects
  • Demonstrated team building, influencing, and negotiation skills
  • Excellent communication and presentation skills – demonstrated ability to relate to executives and business
